About the job

The Executive Assistant to the CEO is a pivotal role that provides high-level administrative support to the CEO, ensuring their time is optimized and business priorities are seamlessly managed. This position acts as a strategic partner, managing communication, scheduling, and coordination to support the CEO’s effectiveness and productivity.

Responsibilities

  1. Communication & Correspondence
  • Manage emails and inbound requests; prioritize time-sensitive matters.
  • Act as the gatekeeper, ensuring the CEOs attention is directed to critical issues.
  1. Travel & Event Coordination
  • Organize end-to-end domestic and international travel arrangements, including flights, accommodations, itineraries, and visas.
  • Arrange team offsites, and large-scale corporate events as needed.
  • Prepare detailed expense reports and maintain accurate records.
  1. Project & Stakeholder Management
  • Act as a liaison between the CEO and internal teams, clients, and external stakeholders.
  • Coordinate with cross-functional teams on behalf of leadership to drive initiatives forward.

Requirements

  • Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Experience: 
    • 2-4+ years of experience supporting C-level executives, preferably in a dynamic or high-growth environment.
    • Demonstrated ability to handle confidential information with discretion.
  • Skills & Competencies:
    • Outstanding Organization: Proven track record of managing complex calendars and juggling multiple priorities simultaneously.
    • Communication: Excellent verbal and written communication skills; ability to tailor messaging to various audiences.
    • Technical Proficiency: Strong proficiency in MS Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets)
    • Proactive Problem-Solving: Skilled at anticipating issues and delivering creative solutions.
    • Detail-Oriented: Ability to maintain accuracy and thoroughness under tight deadlines.
    • Adaptability: Comfortable in a fast-paced, constantly evolving environment; open to feedback and continuous improvement.
